Welcome Pack: Fast Track

Welcome to Connecting Scotland – we’re absolutely delighted to have you join us as a delivery partner in your local community.

This page contains the information you need to know to deliver your commitments to the programme, as outlined in your grant agreement (see template agreements for families & care leavers or older & disabled people).

1. Accept your contract

You have 7 days to sign and return your contract. If it isn’t signed and returned within seven days we will void it. You will still be able to apply again in future rounds.

Our contracts are hosted by DocuSign. This means you can sign electronically. You do not need to print it and sign it by hand. It’s as simple as filling in your details.

2. Sign up and undertake Digital Champion training

No need to wait for devices to arrive, you can send staff/volunteers on the Digital Champion training now. You can find out more about the different training sessions we have at https://connecting.scot/organisations/existing-projects/digital-champion-training

Digital Champions don’t need to be digital gurus, but they should be confident in their own digital skills. You can use our digital skills check-up to help understand any skills gaps.

3. Receive your devices

When you receive your devices you need to make sure you keep a note of the device serial number and the mifi sim mobile number and which users they’ve gone out to. These are important as they enable us to assist with any technical queries or faults after devices have been issued. They are also fields you’ll be asked to complete when you upload your user data.

Find out more about your Connecting Scotland devices and connectivity here.

4. Issue devices

You have 14 days to get the devices to your users as part of the fast track phase. This is a shorter period of time than other phases of Connecting Scotland.

Before you allocate a device you should complete your own risk assessment to ensure that it is appropriate to allocate the device to this individual/household and that your organisational safeguarding policies and procedures cover online harms. We have created some guidance to help you consider the risks of harm, and how to mitigate some of these.

All devices should be issued with two copies of the User Agreement. Every device is shipped with these documents, you do not need to print anything. One copy should be left with the user so that they understand the terms and conditions of the programme. The other copy can be retained by you for your own records. You do not need to return this to Connecting Scotland.

You can find online copies of all relevant documents here.

5. Input user data

From the date you deliver the device to your users, you have 14 days to upload their user data. This means you have a maximum of 28 days from the date you receive the device until you upload the user data. Our suppliers provide us with delivery dates, and we will request that any devices that have not been reconciled through your user data uploads to be returned to Connecting Scotland. We are unable to grant any extension to this timescale.

User data is essential to the programme in order to measure impact and to report to auditors. You can find out more about your responsibilities for uploading user data here.

6. Provide Digital Champion support

As agreed in your contract, you will provide 6 months of support to your users to help them build their confidence using their new device.

Our website has a range of resources to support Digital Champions, including videos on setting up the devices, using accessibility settings and setting parental controls.

7. Undertake the welcome survey with the user

The welcome survey can be undertaken with the user as soon as you know that they are receiving a device from Connecting Scotland. It can be a good conversation starter for Digital Champions as it will help them understand the level of confidence the user has, and what areas they may want to work on together.

You can access the welcome survey here and it shouldn’t take more than 10 minutes to complete. A Digital Champion can do it over the phone with the user. It’s optional for the user to take part, but everyone should be asked.

8. Share the good news

WE love to see the fantastic work being done by organisations in the community. By sharing your stories you help demonstrate the impact of Connecting Scotland and the difference your organisation is making through Digital Champion support.

You can share case studies with us through our Share Your Stories page, where we have templates to help you capture case studies. We also have a comms pack to help you spread the word using #ConnectingScotland
